The role holder will work as part of a team to provide administrative support, ensuring international students in CELL receive an excellent student experience.

Specifically, the role holder will support CELL’s summer pre-sessional Academic English classes, offering front-of-house and administrative support. The classes take place online and on campus to support international students gain English language proficiency in their preparation for degree study at DMU.

The role is campus based, working 17 hours per week. You start on or around 28/04/2025 with an end date of 12/09/2025.

Duties and responsibilities
Key responsibilities include ensuring timely enrolment of students in CELL programs and maintaining updated student records throughout their progression, as well as assisting in organizing graduations. The role involves processing student applications by following up on missing documents, sponsor letters, and embassy communications, and uploading visas, passports, and other relevant documents into the student record system.Comprehensive face-to-face support for students is a critical aspect, along with independently managing the CELL reception. Maintaining high standards of customer service and professionalism is essential at all times, alongside ensuring compliance with university and national regulations, particularly those related to immigration controls.

 
Additional tasks include providing direct support to the Director of the Centre through diary management, preparing meeting materials, and servicing committees. There is a need to maintain accurate records for the Centre and keep archives accessible and relevant, while also performing clerical duties such as filing, reprographic work, and document preparation. The role requires processing contracts and claims for academics, managing orders through the finance system (SAP), and maintaining supplies of stationery and other necessary resources for the Centre to fulfil its obligations.Collaboration with teams within the faculty and across the campus is vital to address the operational needs of the Centre, faculty, and institution. A customer service approach should be taken to handle student queries in person, by phone, in writing, or through email, while ensuring to signpost as needed.Responsibilities also include organizing and participating in student events such as enrolment, inductions, and registration activities, as well as administering attendance monitoring. The maintenance and support of student information systems, the department website, notice boards, and files are also part of the role.Supporting and administering all CELL-related activities, including the Date Test, English Language Support, Bespoke Courses, and Standard Programs is necessary, along with serving as a key contact for international students and providing administrative support. Following up on missing English language evidence documents from students and gathering feedback through focus groups are additional responsibilities of this position

Skills and experience

We are seeking an administrator to join the Centre for English Language Learning team. You will have excellent numeric skills and knowledge of maintaining students’ records with the ability to work with other administrative staff to prioritise tasks, anticipate needs and work as a team.
