Role
Arrivals Assistants play a key role in supporting the arrival process for all new students to the University.
They will be responsible for helping to deliver Warwick’s moving in processes, designed to ensure a smooth flow of traffic and pleasant experience for students and their families.
There are a few different roles available (including supervisor and driving roles) depending on preferred shift times and campus knowledge.
To be considered for this assignment, in your cover letter, please include:
- Have you been an arrivals assistant or supervisor before (if yes, would you like to be considered for the supervisor role this year?)
- Which accommodation blocks do you have most knowledge of?
- Are you available from the 25th – 28th September?

Days of work will be between 25th – 28th September 2025, 1 hour of mandatory paid virtual training will need to be undertaken beforehand (2 available dates to choose from in July days/times TBC) and also 1 hour of role specific training w/c 22nd September (days/ times TBC) Please only apply if you can commit to these dates.
Duties and responsibilities
- The duties described are examples of the tasks you may be assigned to but not limited to:
- Welcoming new students and their families, checking ID’s
- Issuing room keys and ID cards
- Supporting university traffic and car park flow across campus
- Guiding students and their families to designated areas on campus
- Being a point of contact and face of Warwick
- Helping students with luggage in accommodation areas with no lifts
- There are some roles available which will involve driving, however this is not compulsory.

Applicants need to be able to demonstrate the following:
- Helpful, enthusiastic and friendly personality, particularly when dealing with nervous students and/or parents
- Ability to carry out physically demanding work
- Excellent team working skills
- Reliability
- Excellent time management skills
- Ability to work under pressure and in a fast-paced environment
- Ability to deliver outstanding customer service
- Well-rounded knowledge of the Warwick campus
- Ability to follow Health and Safety regulations, particularly when lifting and carrying heavy items or working in areas with vehicle movements
- Commitment to the dates listed
- For roles which require driving, a full clean UK driving licence is required and also confident driving vehicles of all sizes including transit van
