Role

Unitemps are recruiting for a Administrator-Technical Support within the Department of Surgical Biotechnology department. The role is to work the date of 28th April 2025 and will run until 27th October 2025 part time at 18.75 hours per week. Payment is set at £16.37+ holiday pay per hour and the role will be CAMPUS based.

An individual is sought for this part-time post (50%FTE), based at the Charles Wolfson Centre (CWC) in the Royal Free Campus of University College London (UCL). The Centre sits within the UCL Division of Surgery and Interventional Science which is part of one of the most prestigious medical schools in Europe. The CWC main remits are surgical teaching, improving surgical skills, validation and development of surgical teaching methodologies. The Division of Surgery, reaching across three London campuses (Bloomsbury, Royal Free and Stanmore) brings together three major research departments: Surgical Biotechnology, Targeted Intervention, and Orthopaedics & Musculoskeletal Science. Within these departments are world-class research centres, specialising in many different surgical and interventional specialties. The Division also offers teaching and training in a wide range of subjects with intercalated BSc options for UCL medical students, direct MBBS teaching, undergraduate and postgraduate taught and research programmes for both clinicians and non-clinicians. The Division holds a silver award for the Athena Swan Charter which recognizes advancement of gender equality and aims for representation, progression and success for all.
 
This is a part-time role at 50% FTE, requiring on-site attendance. The required working days are Thursdays and Fridays, with the remaining half-day to be discussed later.
 
The position is available for a duration of 6 months, with the first three months serving as the probation period. There is a possibility of an extension after the initial 6 months

Duties and responsibilities

 
A) Administrator related duties and responsibilities:
  • Administrative Support: Provide comprehensive administrative support to the CWC Director, CWC Management Team, and CWC staff, including managing CWC calendars, scheduling meetings, and handling correspondence.
  • Attend regular meetings as required by the CWC Director and the CWC Management Team.
  • Budget Management: Assist in budget planning, monitoring, and management, including tracking expenditures, ordering consumables, processing reimbursements, and preparing financial reports.
  • Coordinate the booking of the CWC facility for internal and external courses, workshops, and events.
  • Liaise with the CWC team, staff, course providers, and external organisations to schedule facility use, ensure proper setup, and maintain compliance with CWC policies and procedures. Facilitate communication, coordinate logistics, and ensure all contractual obligations are met in a timely manner.
  • Coordinate all financial transactions related to facility bookings, course providers, and external companies. Collaborate with university finance Team as needed to track payments and discuss any matters related to billing or payment.
  • Procurement and Inventory Management: Coordinate the procurement of consumable supplies and materials required for courses, research projects, and CWC activities. Conduct regular inventory checks to ensure adequate supplies are available, place orders, and track deliveries in a timely manner.
  • Compliance: Ensure compliance with CWC and University procurement policies, regulatory requirements, and ethical standards when sourcing consumable supplies. Maintain documentation of purchasing transactions, and pricing in accordance with auditing and reporting guidelines.

B) Technical Support related duties and responsibilities:

  • Facility and Equipment Management: Manage facility equipment by arranging regular servicing and ensuring the CWC is well-maintained, adequately equipped, and properly serviced at scheduled intervals.
  • The post holder will provide assistance for laboratory teaching sessions led by academic staff and Clinicians. This can involve the set-up and tidying up of laboratories for teaching courses and contribution to laboratory-based teaching.
  • The post holder will assist with laboratory teaching sessions led by academic staff and clinicians. Responsibilities will include setting up and tidying laboratories for teaching courses, as well as contributing to laboratory-based instruction.
  • The post holder will be responsible for setting up and tidying up after teaching sessions, and conducting stock checks.
  • The post holder will be required to assist with the maintenance and running of the CWC laboratories to a high standard and to ensure that all health and safety regulations are compiled with.
  • Academic Program Support: Coordinate course scheduling and assist with course development.
  • Policy Compliance: Stay informed about CWC policies, procedures, and regulations, and provide guidance to students, staff and external participants as needed.
  • Data Management: Maintain CWC records, and files, ensuring accuracy, security, and compliance with CWC, University and the Royal Free Hospital policies and regulations.
  • The postholder will be responsible for the maintenance and repair of CWC equipment.
  • Responsible for the day-to-day running of the CWC laboratory and maintenance of the facility.
  • Assist with any other technical duties identified by the CWC Director and the CWC Management Team.
  • Research Support: Facilitate research-related activities such as budget management for research projects and assist with coordination of research related activities.

Skills and experience

  • Good general education to BSc levels or equivalent and having acquired substantial administrative and technical support experience.
  • Previous administrative and technical support experience, preferably within a teaching and research department will be desirable.
  • Excellent organisational skills with the ability to prioritise tasks and manage multiple deadlines effectively.
  • Experience with laboratory management.
  • Experience of working in the higher education sector and/or the NHS or equivalent experience.
  • Excellent communication and interpersonal skills.
  • Proficiency in office productivity software (e.g., Microsoft Office)
  • Ability to work collaboratively in a diverse academic environment.
