Role
The University of Edinburgh’s Information Services Group (ISG) invites applications from undergraduate students interested in working this summer as an Events Communications Intern. The key purpose of this role is to assist with the delivery of professional communications for an agreed scope of events and conferences, organised by ISG Communications. You will actively collaborate with colleagues from the administration and AV teams, to ensure clear and timely communications, increase awareness and enhance the attendees’ experience.

Within this role, you will gain practical experience in delivering professional communications and event planning for the ISG Staff Recognition Awards, and ISG ‘All Staff’ Events. The skills you will develop by completing this internship include event management and planning, communications and campaign management, stakeholder management. You will join the ISG Communications Department who are responsible for the staff communications to over 800 members of staff, as well as offering communications leadership and support to several key projects.

You can expect to start work on the 2nd June 2025 and work until the 12th September 2025, with an outlook to continuing in the 2025-26 academic year. You will work 15 hours per week (Monday to Friday) in a hybrid working pattern split between working from home (commutable distance from Edinburgh), and in Argyle House. You will be paid £12.67 per hour, plus £2.29 per hour holiday pay. Payment is one month in arrears, meaning your first payment date (should this position start when expected) will be 28th July 2025.

Duties and responsibilities

  • Collaborating with colleagues, teams and stakeholders across ISG, to manage the calendar of events and conferences including decisions on venues, formats, topics and objectives; whilst offering a communications focus to support the successful delivery of the events;
  • Working with the ISG Communications Department and Graphic Design Intern, to create a professional and optimised identity and messaging process for events and conferences, to increase interest and attendance, and creating a professional environment for attendees and speakers;
  • Working with stakeholders to establish thorough event planning processes, ensuring clear details of the events and conferences calendars, and how they are managed;
  • Working with colleagues from ISG Staff Communications, to ensure that ISG staff are regularly informed and presented with a professional set of news articles and updates relating to the delivery of events and conferences.

Skills and experience
Essential criteria:

  • A current University of Edinburgh undergraduate student (you must be a matriculated student for the duration of your employment). Internships are open to all undergraduate students, except those in their final year of study. You also must not hold the role of ‘Resident Assistant' as this position is expected to run into term-time;
  • Based in the UK for the duration of the work, within commutable distance of Edinburgh, and able to work on campus (we cannot accommodate individuals working overseas due to tax and legal implications), and able to attend a Right to Work Check in person if needed;
  • Demonstrable familiarity with working with the Microsoft Office suite (PowerPoint, Excel, Word, etc);
  • Proven ability to manage workload effectively, and work towards multiple deadlines;
  • Evidence of good teamworking skills, with the ability to support colleagues when required;
  • Proven strong written and verbal communication skills, with the ability to present written information clearly and effectively;
  • Evidence of a proactive approach to work and an ability to conduct tasks independently, whilst taking initiative and identifying solutions to problems where necessary.
Desirable Criteria:
  • Interest in continuing working 15 hours per week into the 2025/26 academic year;
  • Demonstrable proficiency in copy writing;
  • Prior experience of leading a project or deliverable, including stakeholder management.

Hybrid, split between working from home (commutable distance from Edinburgh), and in Argyle House, 3 Lady Lawson Street, Edinburgh, EH3 9DR.
