The role will be co-ordinate and support the administrative processes relating to Academic Practice officer (APO) referrals, Fitness to Practise (FTP) investigations, and Inter-Professional Education (IPE) provision.

The post holder will work campus based in the first instance working 20 hours per week with an hours lunch unpaid each day; hours as below:

  • Tuesday: 9:00am – 5:00pm
  • Wednesday: 9:00am – 5:00pm
  • Thursday 9am - 4pm

The role will start on 01/04/2025 with a current end date of 31/07/2025.

Duties and responsibilities
Support for Academic Practice Officer (APO) Referrals and Fitness to Practise (FTP) Investigations:

 
• Provide support to students, responding to queries regarding procedures and regulations, signposting, and troubleshooting
• Provide bespoke support and guidance to academic and professional services colleagues, advising colleagues based on knowledge of processes, regulations, and precedents
• Organise and service all meetings, interviews and panel hearings relating to APO referrals and FTP investigations, collating and circulating paperwork and evidence, and producing detailed and accurate notes in line with regulations and GDPR requirements
• Assist APOs with the collation of paperwork relating to Academic Offence Panels, and work closely with the Faculty FTP Lead to co-ordinate responses to appeals submitted to the Academic Support Office and the Office of the Independent Adjudicator
• Keep an accurate record of all instances of bad academic practice and academic offences within the Faculty, producing regular statistics and ad hoc analysis for management consideration, assessment boards and PSRBs
• Carry out an annual review of all processes and procedures, making recommendations in line with best practice and university policy, and ensuring all procedural documents and templates are up to date at all times
 
Inter-Professional Education Events:
• Co-ordinate IPE events, facilitator training events and away days in line with the Faculty’s IPE Strategy, liaising closely with internal and external stakeholders to ensure the smooth running of all events, and dealing with queries and complaints swiftly and effectively
• Demonstrate excellent communication skills and stakeholder management in relation to the recruitment and support of People with Lived Experience; building and maintaining effective working relationships and dealing with any queries or concerns with tact and sensitivity. Ensure prompt payment of fees and expenses start of each event
• Provide support and advice to students, based on precedent and in line with specific programme and practice requirements• Manage the IPE budget, monitoring expenses and providing regular updates to senior managers
• Prepare all resources and support tools for each IPE event, including workbooks, stationery, and digital resources, maintaining stocks of stationery and other consumables for IPE events

Skills and experience
Extensive administrative experience including data entry, composing correspondence, management of high volumes of paperwork, and production of reports.

 
Experience of providing high quality customer service in an administrative environment, including giving clear advice and providing accurate information to customers and/or external parties.
 
Experience in committee servicing.
 
Understand confidentiality and GDPR requirements.
 
Excellent IT skills including experience of Microsoft Office packages and bespoke databases.
 
Educated to A level standard or experiential equivalent.

Strong organisational skills including sound time management and a proven ability to multi-task, prioritise own workload, and cope under pressure to meet tight and conflicting deadlines.
 
High levels of accuracy and strong attention to detail.
 
Experience of budget management, including monitoring and reporting of expenses.
 
Excellent communication skills, both written and verbal, with the ability to prepare documents to an academic standard and experience of producing reports for management consideration
 
Strong interpersonal skills and the ability to work as an effective team member, training and supervising less experienced
 
Evidence of experience in dealing with complex queries, providing advice and guidance based on comprehensive, specialist knowledge of procedures.
 
Able to provide a service to a diverse range of people to promote good relations and equality
 
Strong team player with flexible approach
 
Self-motivated with ability to meet challenging deadlines
 
Ability to promote a positive health and safety culture, and improve health and safety performance
