Role
Unitemps are recruiting for a Events Officer (UCL ONLY) within the Marketing & Communications department. The role is to work the date of 24th Feb 2025 and will run until 24th April 2025 full time at 36.5 hours per week . Payment is set at £18.72+ holiday pay per hour and the role will be HYBRID based.
Duties and responsibilities
- The IOE’s faculty online and face-to-face public events programme
- The IOE’s all-staff events and a small number of roundtable meetings with stakeholders, as required, working with staff in the IOE Directorate
- The IOE’s contribution to UCL-level online and face-to-face student recruitment events, working with the UCL Student Recruitment Marketing Team, the IOE Marketing Team and IOE academics
- The IOE’s contributions to graduation ceremonies and receptions, working with the UCL graduation team and IOE stakeholders
2. Organise all aspects of the events you deliver, including the scheduling of events, the management of digital platforms, speaker recruitment, live streaming, event recordings, digital media support, room bookings, security, catering and risk assessments.
3. Ensure that speakers, student ambassadors, volunteers and other contributors to public events are briefed on every aspect of the events and act as the first point of contact for queries.
4. Liaise with IOE academics and external speakers appearing at student recruitment events, ensuring they have input into event format and delivery, supporting them with branded collateral, briefing them fully on every aspect of the event.
5. Drawing on the resources of the wider IOE Marketing and Communications Team, plan, develop and deliver participant recruitment campaigns for public events across a range of channels and media, and maintain and manage subscriber lists.
6. Ensure that post-event follow-up is completed, including post-event communications to those who registered, organising thank you notes or other correspondence in a timely fashion, and completing relevant post event analysis, reports and presentations.
7. Work with colleagues across the IOE to provide a professional, effective, efficient and friendly support service to constituent departments/centres where they require guidance for their own events, to ensure consistently high-quality outputs.
8. Work outside of normal office hours when staffing events, and take reasonable measures to ensure that leave does not conflict with the timing of events.
9. Carry out any other duties that are within the scope, spirit and purpose of the job, including routine administrative tasks, as requested by the line manager.
Skills and experience
Essential Criteria
- First degree or equivalent experience, preferably in a relevant subject such as marketing, digital communications and/or event management.
- Extensive experience of designing, creating, planning and managing large-scale public events and/or student recruitment events.
- A good understanding of the UK higher education environment and the challenges/opportunities faced by the sector.
- Experience of using technology to deliver events remotely, including good knowledge of the merits of a range of different systems and proficiency at using them.
- A comprehensive understanding of digital accessibility legislation, CMA requirements and GDPR.
- A very high standard of organisational skill, including attention to detail and accuracy, and an understanding of project management principles.
- Excellent interpersonal and verbal communication skills, including a confident manner in dealing with a wide range of people; the ability to interact with people at all levels with a sense of absolute tact, discretion and diplomacy, including under pressure.
- Excellent written communication skills, including the ability to tailor communications to a range of audiences.
- The ability to gather feedback, interrogate metrics and conduct analyses using digital tools, and to interpret and disseminate information appropriately and to a high standard.
- A track record of innovation, and of initiating and delivering improvements in response to data and/or feedback.
- High levels of resilience, with the capacity to adapt to changes and challenges, and to remain focused and adaptable in uncertain or challenging situations.
- Commitment to and knowledge of advancing equality, diversity and inclusion.
Desirable Criteria
- Experience of managing suppliers and/or editing multimedia assets.
