Role
Duties and responsibilities
- Plan, organize and manage all aspects of the conference, including logistics (A/V, room booking etc), scheduling, and coordination.
- Develop and maintain a detailed project plan, outlining key milestones and deadlines.
- Support and point of contact for co-organisers, session chairs and speakers with their preparations for the day.
- Coordinate with internal teams and any external vendors to ensure all conference needs are met.
- Manage the conference budget, ensuring all expenses are tracked and within allocated limits.
- Oversee the registration process, including attendee communication and support.
- Oversee the work of research assistants supporting on the conference logistics and outputs.
- Handle on-site event management, including setup, execution, and teardown.
- Ensure all conference materials and resources are prepared and available as needed.
- Address any issues or challenges that arise during the planning and execution phases.
- Provide post-conference analysis and feedback to improve future events and to produce a conference report.
Skills and experience
Essential skills and competencies:
- Proven experience as a project manager, preferably in event planning or conference management and for hybrid events.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Ability to work under pressure and meet tight deadlines.
- Flexibility to work irregular hours as needed during the conference period.
Desirable skills and competencies:
- Experience line managing and working with student partners.
- Experience with events publicity, especially on social media.
- Bachelor’s degree in a related field is preferred.
