Faculty Assistant

Duties and responsibilities
-
To maintain links and facilitate information and processes between faculty staff and the rest of the School and University
-
To monitor and order office consumables and equipment
-
To arrange printing and undertake printing and photocopying (where appropriate), and distribution when appropriate
-
To manage the process of faculty staff purchasing, in adherence to the University’s Finance and Purchasing regulations: Creating purchase orders, Receipting, Facilitating the payment of invoices, Processing online payments using the company credit card; Consolidating company credit card charges.

To process faculty expense claims, ensuring that they comply with the University’s policies and procedures

To act as first point of contact for colleagues, visitors and students who wish to engage with faculty

To arrange meetings when directed by Faculty Administration Manager and Faculty
Administrative Co-ordinator for new-starting faculty colleagues

To facilitate and administer the Schools Visiting Scholars Scheme
-
To arrange conference travel for academic staff ensuring they comply with the University’s policies and procedures
- To maintain records and filing systems including financial records
- To monitor and respond to requests submitted to the faculty administration inbox.
- To act as secretary for faulty related committees, meetings and working groups, including the collation and distribution of papers, as directed by committee chair.
- To update faculty webpages working with the Web Team, heads of Faculty and administration manager
- To monitor and assist faculty with computer questions or printer problems.
- To support with formatting papers, handouts and lecture notes for faculty when directed using Microsoft Office packages.
Skills and experience

Educated to GCSE/A-level/Degree level

Proficiency in the use of IT systems; specific competence in the use of MS Office packages including Outlook

Well Presented
