Role
Unitemps are recruiting for a within the DTP Administrator department. The role is to work ASAP and will run until 30th April 2025 full time at 36.5 hours per week . Payment is set at £18.72+ £3.50 holiday pay per hour and the role will be HYBRID based. (one or two days per week in the office)
The UCL, Bloomsbury and East London Doctoral Training Partnership is an ESRC funded organisation that unites six leading social science institutions. Led by UCL and based in the Academic Programmes Office at the Institute of Education.
Our Professional Services team manages all aspects of the UBEL DTP administration for ESRC-funded doctoral students.
Duties and responsibilities
Administrative support split between general functions and the Placements function:
- Support for the main studentships and setting up review panels
- Additional support for the Postdoctoral Fellowships
- Supporting colleagues in managing new record-keeping requirements spreadsheet
- Additional support for students' training and development processes
- Following up actions from management meetings
- General liaison with students and colleagues
Placements:
- Creating records of alumni and past placements
- Creating a Careers Services Page
- Arranging placement appointments
- Supporting the organisation of networking events
- Conducting student surveys
Skills and experience
- Educated to GCSE (A-Level) standard or equivalent, or having acquired substantial relevant experience
- Proven experience in a busy administrative role
- Ability to work effectively with others, co-operating and collaborating with colleagues of different levels of seniority from within and outside the organisation in a professional manner
- Experience of working independently where necessary, exercising initiative and prioritising work under pressure to meet deadlines, particularly in relation to project administration and support for a busy office environment
- Highly proficient in the use of a wide range of IT packages, including Word, Excel, Outlook and Internet applications/platforms
- Experience of servicing committees and minute taking
- Experience of financial administration such as processing invoices, arranging purchase orders, updating budgets and paying expense claims
- Experience of working in an education related environment such as a school or college, higher education institution, or a local authority education department.
- Experience of working in a Research Council funded environment (desirable)
- Excellent interpersonal skills with a tactful and diplomatic approach to communication (both written and verbal)
- Established record keeping skills, a high degree of accuracy in your work and the proven ability to pay close attention to detail
- Ability to learn and adhere to relevant procedures and to observe and follow policy
- Ability to handle confidential information and communications in a sensitive manner
