Description

Role

The Internships Operations Associate will play a vital role in supporting the delivery of internship programs, ensuring smooth operations, and maintaining high-quality standards. This role involves working closely with the Internships Manager, Internships Officers and other stakeholders to coordinate administrative tasks, liaise with hiring managers and interns, and contribute to the success of the internship programmes.

This role is only open to home 2024 Graduates that have completed their undergraduate degree.

The working hours will be 18.5 hours per week (flexibility can be offered on the working days depending on the business requirements)

You will be required to work on campus for 50% or more of the working hours per week.

Start date is going to be late Feb/ early March with a closing date of 02/05/2025.

Duties and responsibilities

  • Provide support for various internship programs, ensuring key deadlines and milestones are achieved.
  • Maintain effective communications with all stakeholders via various channels, including email, social media, telephone and face-to-face meetings.
  • Coordinate and send interview invitations for internship positions.
  • Follow up with applicants to confirm their attendance for scheduled interviews.
  • Assist the team with ad hoc tasks and responsibilities as needed.
  • Accurately maintain and update records of applicant responses.
  • Respond promptly to applicant inquiries via email and phone.
  • Serve as a point of contact for applicants and hiring managers, addressing queries and offering assistance.
  • Undertake training when required and identified as appropriate.
  • Comply with university policies to ensure the highest health and safety standard.
  • Maintain accurate and detailed administrative and management information records.

Skills and experience

  • Strong organisational and time-management skills with the ability to manage multiple tasks.
  • Excellent communication and interpersonal skills to interact with a diverse range of stakeholders.
  • Proficiency in Microsoft Office Suite including Word, Excel, Outlook and Teams
  • Detail-oriented with a focus on accuracy and maintaining high standards.
  • Ability to work independently and as part of a team.
  • Good customer service skills
  • Must be a DMU 2024 Graduate that completed their undergraduate studies.
