This role is full time 37 hours a week, Monday to Friday, for six months (until the end of July 2025) in the first instance. 

The purpose of the post is to provide coordination, administration and operational support for the OfS Degree apprenticeship funded project (The Project). The Post holder will support the University’s Apprenticeships Manager in achieving all aspects of the project delivery to meet targets and objectives set in the contract.

The post holder is an integral member of the Apprenticeships team liaising at times on behalf of the University’s Apprenticeships Manager. The post will work across the University and with external stakeholders, to assist in the implementation of The Project and to effectively support external partners, employers and professional bodies as appropriate.  The post holder will be working with colleagues associated with Apprenticeships across multiple programme teams in different faculties, as well as professional services team supporting the administration of work associated with the project.

Duties and responsibilities

Principal Duties and Responsibilities

• To actively manage, deliver and promote, using all appropriate methods, activities detailed within The Project.

• Set up and take the lead for events associated with The Project, to include liaising with attendees and stakeholders.

• To attend and represent the University at University open days, workshops, meetings, and other promotional and business support events which may occur during and/or outside normal office hours.

• To collaborate with colleagues across all faculties to facilitate and support their Project activities with an aim of achieving Project objectives.

• Day to day independent management of administrative support for the project, ensuring that all internal and external requirements are fully met.

• Draft bespoke communications.

• Devise, monitor and review Project processes and procedures.

• Using own initiative to ensure processes are delivered effectively and efficiently.

• Problem-solve e.g. take ownership of operational issues and anomalies not covered by standard procedures and propose solutions.

• Be the first point of contact for internal and external service providers, ensuring requests for information are provided in a timely manner. 

• Provide detailed and advance level advice and guidance on apprenticeship and Project related procedures, regulations and policies to internal and external stakeholders.

• To develop and maintain positive working relationships with all internal departments and external organisations and partners that may be involved in The Project delivery and management.

• To Identify and manage any training, promotional or other events required.

• Acting as an internal ambassador promoting The Project and apprenticeship activities, throughout the University and engaging staff and students where appropriate.

• To develop and maintain positive working relationships with internal and external stakeholders. 

• Be proactive in completing deadlines but also setting and organising own workload; working under own initiative.

• Produce and collate relevant apprenticeship information/data in different formats, as required for utilisation by the University’s Apprenticeships Manager for University committees, working groups and to meet external requirements.  

• To be responsible for coordinating the income and expenditure budgets and claims of the project and to maintain accurate and up to date records.

• To organise and manage Apprenticeship Project meetings, including scheduling, production and dissemination of documentation, minute taking and monitoring of actions / following up outcomes. 

• Work with other departments within the University to promote The Project within the University, the alumni body, and across the business community of Northamptonshire.

• Deputise for The Project Manager as required.

Skills and experience

Person Specification

5 GCSEs including Mathematics and English Language at Grade C or above or equivalent. Or equivalent experience.     

A levels or equivalent. Or equivalent experience.         

Hold a relevant professional level qualification in administration    

Skills, Knowledge and Experience

Excellent verbal and written communication skills to liaise with service users and/or external contacts representing the work of a department / team as required.    

Excellent communication skills; liaising with internal stakeholders at various levels.        

Able to show initiative in finding solutions to problems.    

Able to respond and resolve enquiries and problems, judging when to pass complex queries on to or involve others to provide an effective service and clear advice to colleagues and customers.        

Significant experience of delivering a range of high-quality administrative processes and/or customer services in support of systems or processes.        

Excellent organisational skills. Able to coordinate and collate a wide range of information and data.         

Demonstrable skills in managing a diverse workload with multiple deadlines.        

Proven ability of developing and maintaining systems to ensure efficiency.        

Good working knowledge of Information Technology (particularly Microsoft Word, Excel, PowerPoint and SharePoint).       

Experience of managing/supporting funded projects.       

Experience in dealing with GDPR issues and data compliance.       

Minuting taking skills.

Experience of managing successful client/stakeholder relationships.
