Role

To provide a high-quality administration service across the whole spectrum of the CareersPlus and Employer Relations portfolio, with particular emphasis on supporting the experiential and skill development activities undertaken by students and alumni to underpin their academic learning and enhance employability. 

Acting as a first point of contact for students, corporate partners and alumni in their engagements with the CareersPlus and Employer Relations team and project management of departmental activities. 

Duties and responsibilities

This is not an exhaustive list; you may also be required to do other administrational tasks according to the needs of the team as and when they arise.

Events & Projects Administration and Coordination

  • Provide administrative support and project management for events, projects and module delivery across the CareersPlus and Employer Relations team e.g. Student Society Events, Student Projects, Employer Activity.
  • Support the creation of and follow agreed Standard Operating Procedures and suggest improvements to these processes.
  • Provide administrative, systems support and data management of careers metrics across the full spectrum of WBS student caseload of Undergraduate, Masters and MBA students.  

CareersPlus and Employer Relations Student Marketing Activities

  • Coordinate planning, timetabling, advertising and promotion of Careers Plus & Employer Relations career and personal development workshops and webinars for WBS students and alumni and all associated correspondence with external workshops suppliers and coaches.
  • Manage marketing collateral and stock inventory

Finance

  • Undertakes relevant finance related administration for CareersPlus & Employer Relations budgets e.g. raising purchase requisitions via the University procurement system (Opera), updating budget trackers, processing purchases made through WBS CareersPlus online shop and liaising with budget holders, WBS Finance and external suppliers.

CareersPlus and Employer Relations office co-ordination and communication with WBS Students

  • Act as first point of contact to respond to careers, employer relations and alumni enquiries, ensuring that WBS students and alumni receive a proactive and professional careers experience.  
  • Deals with as many queries as possible personally, but signposts when appropriate to the relevant person.
  • Any other ad hoc duties needed to assist with CareersPlus & Employer Relations Activity. 

Skills and experience

Essential Criteria

  • Educated to at least A Level or equivalent standard 
  • Previous experience in a high-volume, customer focussed administrative environment, with a highly developed understanding of what constitutes good customer care and excellent problem-solving skills 
  • Proficient in using financial software and tools, such as raising purchase requisitions, updating budget trackers and liaising with budget holders 
  • Highly effective communication and interpersonal skills and cultural sensitivity to others, with an ability to build positive relationships with both customers and colleagues 
  • Experience managing projects and analysing data sets 
  • Able to use initiative and to self-direct work, working accurately under pressure and to tight deadlines, and with meticulous attention to detail 
  • Well-developed organisational and planning skills and the ability to suggest improvements to processes 
  • Excellent IT skills including competence in using Microsoft Office (Word, Excel, Outlook, PowerPoint) and the ability to quickly assimilate new systems 

Desirable

  • Customer service NVQ Level III or equivalent 
  • Experience gained within an HE environment or similar 

Location
Combination of on campus and working from home. (minimum 3 days per week in the office)
