Description

Role

To provide high quality administrative support to undergraduate, taught postgraduate, apprenticeship and professional development programmes within the School of Education, Learning and Communication Sciences (SELCS). Working as part of a team, the role will provide day-to day administrative support for admissions, course administration and quality assurance processes and will deliver excellent customer service by providing information, guidance and support for students, staff and external partners and organisations.

Duties and responsibilities

  • To work independently and part of a team, taking ownership of allocated tasks and activities, ensuring that all departmental, University and appropriate external procedures, deadlines, regulations, quality standards and requirements are monitored and adhered to.
  • To support a culture of continuous improvement by engaging with programmes of change and supporting implementation of new processes and systems.
  • To maintain accurate and secure data records in accordance with internal and external regulatory and legal requirements.
  • Produce data and generate reports as directed to support senior colleagues with activities such as internal and external audits and inspections.
  • To ensure that information relating to the designated area of work is accurate, current and available to the intended audience, e.g. electronic documents are controlled and well managed and intranet content is refreshed at appropriate intervals
  • To develop a broad knowledge of internal and external regulations, quality assurance procedures and legal requirements, building expertise in a key area, providing advice and guidance to students, staff and external stakeholders.
  • To ensure that all student and staff enquiries relating to designated areas of work are dealt with accurately, efficiently and courteously, taking responsibility for routing queries to the correct team, where appropriate.
  • Participates in, staff development and training activities in pursuance of personal and professional development, and in support of the needs of the business.
  • To provide secretariat services by supporting the planning and organising of, department student and staff meetings and events, taking take minutes and action points at meetings, as required
  • The post holder will be allocated to a specific team within the PGT, UG and Apprenticeship admissions and course administration function of the School. This allocation may change depending on business need, providing resilience across the team and giving the opportunity to gain a broader experience across the full range of courses offered in the School. The postholder will work collaboratively with team members to provide a consistently high level of service across all activities listed below in their designated area.

Skills and experience

  • Experience within an office environment, preferably within a Higher Education establishment.
  • An understanding of data protection requirements.
  • Excellent communication and interpersonal skills with the ability to work effectively with academics and with other University staff at all levels and from varying disciplines.
  • Excellent IT skills (MS Office365, internet and email) and proven ability to utilise these effectively.
  • Must be highly organised, autonomous, capable of acting under own initiative and able to prioritise diverse workloads.
  • The ability to use initiative and work effectively and accurately under pressure and to cope with competing priorities.
  • Educated to undergraduate degree level.

Centre for Lifelong Learning – Westwood Campus/working from home. Working pattern to be discussed locally
