Role
The University of Edinburgh is currently offering a part-time opportunity for a student to join the School of Scottish Student Archives team as a John Levy Collection Intern. The John Levy Collection of religious and spiritual music is held in the School of Scottish Studies Archives. His recordings, made on open reel tape, are from the period 1958-1972 and are currently listed on a set of index cards. Within this role, you will compile an electronic listing of the collection in Microsoft Excel using the information on the index cards, re-shelve the analogue recordings in the AV Storage Area, and help conduct a general audit of this material.

This is an exciting opportunity for you to gain experience working in an Archive, expanding your knowledge of traditional music from Asia whilst using your research skills to ensure accurate notation of names of places, musical instruments, musical genres etc. You will be actively supporting the work of the School of Scottish Studies Archives on the collection by creating a finding aid which will provide greater access to the audio recordings and enable an audit of the tapes to be undertaken.

You can expect to start work on the 18th February 2025 and work until the end of July 2025. The successful student can expect to work 9 hours per week on campus, in the School of Scottish Studies Archives (29 George Square) or the Centre for Research Collections (6th Floor Main Library). During this position you will be paid £12.67 per hour, plus £2.29 per hour holiday pay. Payment is one month in arrears, meaning your first payment date (should this position start when expected) will be the 28th March 2025.

Duties and responsibilities

  • Compiling a list of recordings from information on a set of index cards, some of which is handwritten, using a Microsoft Excel spreadsheet;
  • Undertaking basic research on names, places, musical instruments and genres (particularly spellings) to provide accurate description;
  • Keeping a record of any substantial changes made in transfer of information from index cards to spreadsheet;
  • Re-shelving audio tapes in order as defined by the Scottish Collections Curator;
  • Conducting an audit of recordings against the electronic listing.

Skills and experience

Essential criteria:

  • A current University of Edinburgh student (this post is designated for UoE student employment; therefore, you must be a matriculated student for the duration of your employment). You also must not hold the position of ‘Resident Assistant’;
  • Based in the UK for the duration of the work, able to work on campus when required (we cannot accommodate individuals working overseas due to tax and legal implications), and able to attend a Right to Work Check in person if needed;
  • Experience of listing or working with data using Microsoft Excel (or equivalent);
  • Demonstrable ability to conduct effective research, such as locating accurate and relevant information on archive material (e.g. checking reliable sources for the spelling of names, places and musical instruments);
  • Evidence of a methodical and accurate working style, with strong attention to detail;
  • Proven ability to work independently, asking for guidance as necessary;
  • Evidence of excellent written communication skills.

Desirable Criteria:

  • Demonstrable knowledge of, or interest in, ethnomusicology/South Asian culture(s), music genres, musical instruments or language(s);
  • Experience of working with heritage materials or in a heritage environment (e.g. archives or a library);
  • Evidence of an ability to accurately transcribe handwritten information, including unfamiliar languages and terminology.

Location
On campus, working in the School of Scottish Studies Archives (29 George Square) or the Centre for Research Collections (Main Library, 30 George Square)
