Temporary Payroll & Pensions Administrator

Duties and responsibilities

The role will report into the Senior Payroll & Pensions Officer(s) and will be responsible for the day-to-day payroll and pension transactional workflows that are generated via MHR iTrent ensuring bank and PAYE information is accurately input into the system.  The role holder will be responsible for the accurate and timely completion of the monthly payrolls; and that any payments due are input via self-service or manually entered ensuring employees monthly payments are calculated correctly. 

Administration of the Universities staff payroll including updating employee starter, leaver and changes data via workflow from the HR & Payroll System, input hours for overtime and expenses where not claimed via self-service, check absences such as sickness, maternity, adoption leave etc. pay entitlement, enter tax codes and NI numbers/categories, input starter bank details and attach records to the relevant payrolls, to validate employee salaries to ensure monthly timely and accurate payments are made. 

Support with the pensions queries including opt ins and opt outs, general pension queries and auto enrol staff members in both payrolls to the correct pension schemes, in accordance with the University’s terms and conditions and pension regulations.

Deal with ad hoc queries from staff across the University and Unitemps office with regard to payments and deductions, pensions, expenses and use online HMRC calculators as and when required.

Keep up to date with current processes and changes in pension, taxation and employment legislation, ensuring comprehensive procedures are updated regularly. 

To assist with internal audits for payroll, pension and staff expenses to ensure the processes are in line with audit requirements.

Prepare and collate documentation for advance payments to be checked and signed off by Senior Payroll & Pensions Officers(s) ready for further approval and payment.

Maintain strict confidentiality in respect of employees’ personal data in accordance with the Data Protection Act and the University policy.

Online filing and archiving payroll and pension records and work as part of the wider finance team to carry out other processing or finance duties as and when required.

Skills and experience

Qualifications and Training 

GCSE A-C, or equivalent, in English and Mathematics - Essential 

DQualifications and Training

AAT or CIPP qualified or equivalent 

GCSE A-C or equivalent in English and Mathematics 

Experience and Knowledge

18-24 months’ experience of working in payroll team in education or another public sector organisation

Comprehensive knowledge of PAYE, NI and statutory elements (such as SMP, SAP etc) and pensions administration.

Experience of working in a busy office environment and to strict deadlines

Excellent administration, organisation, and time management - the ability to plan and prioritise work to ensure key deadlines are met, whilst maintaining a high standard of work and accuracy

Working knowledge of the Teachers’ Pensions, Local Government Pension Schemes, USS, NEST and Church of England Pensions

An understanding of how to handle data of a sensitive and confidential nature

Skills and Attributes
