Duties and responsibilities
A mainly administrative role working within an IT PMO (Portfolio Management Office).
The role will:
• Collate weekly reports (in Word format) from Project Managers into a single portfolio report to share with the IT Leadership Team
• Create and oversee folders in Microsoft Teams to enable documents to be shared and accessed across the IT Projects Team
• Updating spreadsheets and SharePoint tables with information submitted through reports
• Engage with Project Managers to ensure completion of weekly reports and to support ongoing
• Provide a secretariat function for a committee, including scheduling meetings, taking minutes, recording actions and chasing progress on actions
• Scheduling team meetings and associated logistics, such as room booking and assisting with agenda setting
Skills and experience
• An enthusiastic individual capable of working with a degree of autonomy
• Experience of undertaking administrative work including overseeing a team email, scheduling meetings, taking minutes of meetings, compiling reports and updating information in spreadsheets
• Good experience and capability using Microsoft applications, particularly Excel, Word, SharePoint and Teams
• Experience of using Microsoft Project / Planner would be an advantage, but not essential
• Desirable: administrative experience, experience of project management related environments, experience of compiling reports
