Description
Role
Coordinate and handle Doctoral College administrative requirements, which include collaborative degree arrangements, student development activities, online and in person office management, and executive assistance to the Head of the Doctoral College.
The role holder may also be required to support the work of Doctoral College teams during periods of absence / at peak activity times.
Duties and responsibilities
- Coordinate and administer collaborative degree arrangements – develop and maintain accurate record-keeping systems; liaise between students, internal teams and external partners ensuring effective communication and process management; support the development of new collaborations.
- Coordinate DC team activities including team meetings, office facilities (e.g. equipment tracking); resource account triaging.
- Provide project administration for the work of the student development officers (activities include events, funding, student engagement).
- Provide back-up for the administration of examinations, scholarships, committee servicing and other core DC functions during absences.
- Provide executive project support to the Head of the DC, including student casework administration.
- Track DC budget expenditure, support purchasing (using SAP) and manage the asset register.
- Organisation of team document storage and sharing, including HR records.
- Ongoing maintenance of departmental contact details and distribution lists.
- Contribute to the upkeep of the DC website.
Skills and experience
Essential Criteria:
- Significant administrative experience, preferably in academic administration in a higher education institution.
- Excellent written and oral communication skills, including ability to draft procedural and user documents, and orally present clear and concise arguments.
- Meticulous attention to detail.
- Ability to identify and analyse problems and to develop appropriate solutions.
- Ability to manage a varied (and changing) portfolio of work effectively and efficiently.
- Ability to operate effectively as a team member and exercise a high level of independence.
- Confident and competent IT user with experience of quickly learning and using unfamiliar systems.
- Ability to influence the work of others without being in a position of authority.
Desirable:
- Experience of working in an administrative role at the University of Warwick.
