We are seeking an experienced administrative professional to undertake a range of specialist and non-specialised administrative and clerical duties to support areas within a faculty or administrative cluster.

The role will start 08/01/2025 until 29/08/2025 (there is flexibility to work either 3, 4 or 5 days per week. 2-3 days on campus minimum but hours can either be 5 short days (eg school hours) or 3-4 longer days to be agreed with the candidate.We need a regular pattern each week though for operational planning and office cover.)

Duties and responsibilities

Under the direction of a professional services line manager within the

cluster/faculty, to:

1. Provide proactive, confidential and reliable administrative support to ensure the smooth running of areas of a faculty or cluster, supporting delivery against a broad range of responsibilities.

2. Assist the logistics for staff travel, e.g. seeking approval from the line manager and budget holder, booking flights, hotels, rail, conference bookings etc.

3. Assisting staff in the arrangement of travel activities (including, where required, student trips), following the university protocol for Global activities and relevant travel processes.

4. Assisting the staff recruitment process including the preparation of relevant paperwork and interview arrangements as well as processing and recording contracts and time-sheets as and when relevant.

5. Support local induction arrangements for new staff to include IT account requests, access 

requests, Health and Safety inductions and other elements as required to support a smooth onboarding process.

6. Support financial administration through accurate SAP use to include raising purchase orders and goods receipting.

7. Support planning and preparation for meetings and committees, taking notes as required.

8. Process complex documents and information received from a range of sources, investigating and analysing data.

9. Maintain accurate records within the required areas, in line with university’s central policies.

10.Work collaboratively with colleagues across the faculty or administrative cluster to ensure a consistently high level of support is provided across all senior offices.

11.Collate and extract data and produce routine reports, schedules, summaries and letters for internal circulation or for external customers and suppliers.

12.Organise/provide hospitality for visitors, as required.

13.Work within cover arrangements to ensure a consistency of support in the

absence of colleagues.

14.Provide out-of-hours support for university activities and to reflect periods of

intensive workload, on an agreed and limited basis

Skills and experience

Educated to GCSE level, with grade C or above in Maths and English (or equivalent qualifications)

Experience working in an administrative environment

Experience working in a busy office environment where it is important to successfully re-prioritise

Able to prioritise own workload with minimal supervision

Competent IT user, including experience of Microsoft Office/Outlook packages

Excellent customer service skills 

Experience developing systems and processes to ensure efficiency within an office environment

Able to demonstrate attention to detail

Understands the importance of discretion and confidentiality in a work environment
