Role

Unitemps are recruiting for a Temporary Administrator for setup of new Doctoral Training Partnership within the Earth Sciences, MAPS Faculty. The role is to work ASAP and will run until 31st January full/time at 37.5 hours per week . Payment is set at £25.75 + holiday pay per hour and the role will be CAMPUS based.
 
This temporary role will provide essential administrative support to help establish a new Doctoral Landscape Award (DLA).
You will work closely with the Director and Co-Directors to swiftly set up key systems and processes for graduate admissions, student funding, and programme coordination. 
This fast-paced role requires strong organisational and administrative skills, ideally within a higher education setting, to support the successful launch of the DLA. A commitment to Equality, Diversity, and Inclusion (EDI) is central to the role, ensuring that the programme’s foundations align with its accessibility and sustainability goals.

Duties and responsibilities

  • Establish an interim platform (e.g., Microsoft Forms) for collecting key data and handling enquiries. Collaborate with web developers to ensure a user-friendly admissions platform, and prepare all admissions-related content for both interim and long-term systems.
  • Systems and Process Setup: Set up core administrative systems for admissions tracking, student funding, and data management using interim tools (e.g., spreadsheets). 
  • Ensure compliance with data security (GDPR) and establish communication workflows to manage enquiries and distribute information efficiently.
  • Student Funding Setup: Develop initial processes to track PhD funding and internships, liaising with finance teams to ensure eligibility and accurate allocations.
  • Set up interim systems to monitor student budgets and funding records.
  • Programme Coordination and Event Support: Assist with the planning and coordination of online student events (e.g., inductions, workshops) and provide logistical support for key programme activities. Help organise meetings, document action points, and ensure follow-ups.
  • Provide administrative assistance to the Director and Co-Directors, ensuring the smooth day-to-day running of operations. Support scheduling, minute-taking, and align processes with the programme’s EDI and sustainability commitments.

Skills and experience

  • Experience in higher education or research administration, ideally with exposure to graduate admissions. Proven ability to set up and manage administrative systems quickly and accurately. 
  • Experience in a fast-paced, time-sensitive academic or project launch environment. 
  • Knowledge of Equality, Diversity, and Inclusion (EDI) in academic settings.
  • Organisational Skills: Strong organisational skills, able to manage multiple tasks and prioritise under tight deadlines. Quick to establish workflows and improve processes where needed. 
  • Communication: Excellent written and verbal communication skills for engaging with a range of stakeholders.
  • Professional and clear in responding to enquiries.
  • Technical Proficiency: Skilled in Microsoft Office (Word, Excel, Forms) with the ability to learn new tools quickly.
  • Familiar with GDPR and best practices in data security.
  • Personal Attributes Attention to Detail: High accuracy in handling data and preparing documents. 
  • Commitment to EDI and Sustainability: Strong commitment to inclusivity and sustainability in all tasks. Adaptability: Flexible, resilient, and able to work effectively in a rapidly evolving setup.
