Overall Purpose of the Role: 

The Directorate Project Coordinator will provide high-level administrative support to the Senior Leadership Team (SLT) across various directorate teams. This role involves coordinating specific projects and supporting the development of both new and existing initiatives within the Directorate. The successful candidate will ensure effective administration of Directorate research activities, contributing to evidence-based outcomes and fostering international research collaboration.

You will work on campus for 37 hours per week. The role will have an immediate start until 31/07/2025.

Duties and responsibilities

  • Undertake specialist projects on behalf of the PVC for research, including REF activities and international partnerships.
  • Support and implement development programs for research staff, technicians, and PGR students, including data capture systems and analysis.
  • Serve as the primary contact for research staff, resolving queries and directing them to the appropriate resources.
  • Facilitate meetings by preparing agendas, taking minutes, and tracking actions, particularly for REF working groups.
  • Collaborate with stakeholders to promote research excellence and resolve project-related issues.
  • Extract and maintain REF data for reports, continuously reviewing research systems and processes.
  • Organize and coordinate events to promote research success, sometimes outside of core hours.
  • Manage project budgets, liaising with finance and suppliers to ensure accurate financial tracking.
  • Coordinate staff activities, including documentation, venue organization, and outcome measurement.
  • Handle general office duties to ensure efficient Directorate operations, including IT and travel coordination.
  • Provide administrative support to the PA of aPVC for Research as needed.
  • Perform additional duties commensurate with the job grade as required.
  • Ensure compliance with the Equality Act 2010, treating all individuals with respect and fostering good relations.
  • Adhere to university policies, including those related to Equality and Diversity, Health and Safety, and Financial Regulations.

Skills and experience

  • Five GCSEs, Grade C or above, including English and Maths (or equivalent experience)
  • Significant experience of working in a similar coordinator/administrative role supporting a team.
  • Experience of arranging events
  • Maintaining webpages and working with digital platforms to create content.
  • Significant experience of servicing meetings, including accurate note-taking.
  • Significant experience of managing multiple activities concurrently.
  • High levels of accuracy and strong attention to detail.
  • Understanding of confidentiality and the requirements of the Data Protection Act.
  • Excellent word processing skills.
  • Experience using various Microsoft Office packages (Word, Excel, Outlook, SharePoint, PowerPoint, MS Teams).
  • Ability to communicate effectively at all levels.
  • Ability to prioritize a demanding workload.
  • Willingness to be flexible and work as part of a team.
