Part Time Position:  1.0FTE – until 31st March 25

WMG has a great opening to recruit a Project Support Officer to support the delivery of projects on the  HVM Catapult Communities Programme.  The role will provide operational support to the team, including some additional support to the project leads and Regional Director.

We are looking for an individual who has experience of  co-ordinating projects and events, together with demonstrable experience of providing administrative support 

Educated to A level standard, you will have experience of working independently and using your own initative to solve problems and plan projects. Ideally, you will have some experience of working with skills based teams. This is a fast-moving environment, therefore you will need to be highly organised, wth the ability to prioritise and to work to tight deadlines.

Duties and responsibilities

JOB PURPOSE:

To support the delivery of projects, lead on project sub-tasks and team initiatives, and provide operational support to the team including additional support to the project leads and Regional Director.

DUTIES AND RESPONSIBILITIES:

Project Delivery Support

  • To support the delivery of projects by providing support through:
  • The co-ordination of project meetings, schedules and governance.
  • Monitoring delivery of milestones and deadlines as agreed within the project team, to follow up with project partners on milestone delivery.
  • The update of project documentation such as Gantt charts and risk registers based on information provided by the PI, managing a documentation depositary, co-ordinating the creation of reports and presentations for internal and external delivery including collecting information from external project partners.
  • To be a first point of contact within the project for internal and external stakeholders.
  • Supporting the financial monitoring, reporting and management of the project by creating financial tracking documents and liaising with finance functions. 
  • Prioritising workload to support project delivery, escalate issues/ difficulties and respond appropriately to direction from the PI. 
  • To build and maintain relationships with other WMG and UoW functions (including HR, IT, finance, marketing, business development and major programmes) in order to effectively co-ordinate and monitor progress of appropriate activity

Project Development

  • To lead on project tasks and team initiatives, including:
  • To convert initiatives into projects using appropriate tools and techniques and subsequently lead on the delivery of sub-tasks and team initiatives with guidance from the PI (or Principal Engineer/ Lead Project manager). 
  • Managing and co-ordinating dissemination events and workshops.
  • Co-ordinating relationship building with other teams and organisations
  • Creating marketing/presentation/website material. 

Administration

  • To provide administrative and diary support for Professorial staff within the skills function as required 
  • To undertake general office duties such as maintaining and updating filing systems, dealing with visitors to the office, arranging in house hospitality and catering. 
  • To maintain an office desk plan and data sheet on team members.

Essential requirements
  • Educated to A level standard or equivalent with GCSE English and maths or equivalent - A
  • Experience of co-ordinating work-based projects and events - A/C
  • Demonstrable experience providing administrative support - A/C
  • Experience of working independently, to tight deadlines and using own initiative to solve problems and plan projects - A/B/C
  • Experience of interacting with internal and external organisational stakeholders - A/C
  • Experience of working within a skills based environment - A/C
  • An understanding of basic project management tools and terminology - A/C
  • Knowledge of Microsoft office packages - A/C
  • Knowledge of document management - A/C
  • Excellent organisational skills, including the ability to plan and prioritise work independently and effectively and work to deadlines without supervision - A/C
  • Problem-solving skills – essential for process improvement & project management roles - A/C
  • Ability to organise resources relating to projects and processes - A/C
  • High degree of personal integrity and ability to maintain confidentiality - A/C
  • High level written and oral communication skills -A/B/C
  • Excellent IT skills, including web editing and content management, Microsoft Word, Excel, Access and PowerPoint, including database/website design knowledge - A/B/C
Desirable Requirements
  • Possession of or working towards a project management qualification - A
  • 2.1 Honours degree or equivalent - A

Hybrid – on University of Warwick campus and working from home
