Role

The role holder will provide an effective administrative service for the WBS Rankings team who interacts with UK and international students and alumni to ensure participation in rankings and to meet rankings submission deadlines. This will involve analysing rankings results, drafting a variety of reports, contacting recent graduates to update their employment information, and acting as a point of contact for students and alumni of ranked programmes to provide up-to-date information about alumni services and events.

Duties and responsibilities

Main duties (60%)

  • Supporting the processes of ranking submissions, including collection and recording of alumni data through outreach campaigns and preparing the data to obtain the best possible return within externally imposed deadlines.
  • Building rapport with student and alumni of ranked programmes, and acting as a point of contact for providing up-to-date information about alumni services and events.
  • Researching, scheduling, and managing own outreach campaign targets for forthcoming ranking submissions within an agreed framework.
  • Liaising with relevant WBS teams within GAER CareersPlus & External Relations, and across the School as necessary to develop a broad understanding of the student and alumni lifecycle.
  • Using a variety of social media channels, assist the Rankings, GAER, and CareersPlus & External Relations teams by contacting recent graduates for information to compile employment and marketing reports.
  • Assist the Rankings team in finding and developing the most appropriate methods of student and alumni engagement.

Data analysis and reporting (20%)

  • Analysis of WBS rankings performance and trends over time.
  • Writing reports to assist the Rankings team in the analysis of WBS performance against key competitors.
  • Identify changes and trends for WBS in the postgraduate employment market.

Other administrative support (20%)

  • Working with Rankings, GAER and CareersPlus & External Relations, provide administrative support for student and alumni data collection and recording.
  • Support events held by Rankings, GAER and CareersPlus & External Relations teams at WBS and The Shard.

Skills and experience

Essential

  • A good first degree or equivalent relevant professional experience.
  • Prior administrative experience, preferably in higher education, in forward planning, and data management and analysis.
  • An ability to quickly assimilate and gather complex data from multiple sources in order to develop a broad knowledge base of the School, its staff and activities, its aims and purposes, and ranking performances. (E
  • Excellent written and oral communication skills with the ability to persuade and communicate at all levels.(E)
  • Excellent interpersonal skills and the ability to build rapport with WBS stakeholders at all levels
  • An ability to work independently within an agreed framework, with excellent organisational skills to work across multiple ranking campaigns and projects.
  • A flexible approach to work, demonstrating an ability to adapt as required based on changing priorities
  • Competence in use of Microsoft Office software applications (including word-processing, spreadsheets, communication platforms and email).
  • Good eye for detail and accuracy, experience in proof-reading.
  • Understanding of personal data protection law (GDPR) and requirements
  • Experience with CRM databases and social media. (training will be given).

Location
Hybrid and flexible: must be on Warwick University campus a minimum of two days per week, one of which will be a Tuesday (team anchor day). See additional info

Additional information

Location - Hybrid and flexible: must be on Warwick University campus a minimum of two days per week, one of which will be a Tuesday (team anchor day). It is also expected that the postholder will be on campus additional days if required to complete job responsibilities.

There may also be a requirement to travel to The Shard campus in central London with notice.
