Role

This is a role for someone with significant and demonstrable experience of alumni engagement, organising large and complex events, and delivering diverse projects which require collaboration across different teams.

Working closely with the Rankings and Alumni Engagement Manager, you will manage and deliver a wide range of School-level projects and initiatives aimed at engaging students and alumni from ranked programmes to support the growth of the MBA alumni network and its associated membership benefits. Working closely with colleagues within WBS as well as the wider University this role will be responsible for maximising and leveraging alumni activity through effective planning, implementation, delivery, and evaluation of projects and initiatives through all their stages.

Project and stakeholder management (ranked programmes)                                         90%

1. To work independently to lead and deliver a range of initiatives, projects, and events to raise awareness of, and increase engagement with, activity targeted at alumni and students from ranked programmes. This will include (but is not limited to):

-organising the annual MBA conference,

-promoting and rolling out the yearly alumni awards programme,

-managing and delivering the MBA module scheme,

-leading and supporting a range of projects and events covering the breadth of the section and a calendar of student engagement activities as required.

2. To carry out all associated logistical requirements of event management (venue booking, speakers, programmes, catering, etc), targeted stakeholder engagement, feedback, and report writing.

3. Working collaboratively with alumni and a variety of stakeholders across the breadth of the global alumni engagement brief, lead on developing a range of initiatives and benefits to facilitate engagement and interaction between students and alumni on ranked programmes and the wider global WBS community.

Administration                                                                                                                           10%

1. To act as Secretary to Section-led committees and working groups (including but not restricted to the Rankings Action Group and the Global Alumni Engagement Working Group(s)), ensuring actions are followed up between meetings, all stakeholders are aware of their responsibilities, and support is given to co-ordinate the actions of others as required.

2. To provide high quality and consistent administrative and secretarial support to other GAER groups as required.

3. To undertake other duties relevant to the post’s grade as assigned by the line manager.

Skills and experience

Essential

  • Educated to degree level or with equivalent, relevant work experience in a similar setting.
  • Strong and effective project management, planning and organisation skills, with the experience of keeping projects on schedule and an ability to manage and organise workloads and work effectively under pressure to deadlines.
  • Experience of leading on a broad range of strategic projects and initiatives with minimal supervision.
  • Track record of strong event management skills.
  • Excellent communication skills (verbal and written) with the ability to draft reports for internal and external use.
  • Experience of providing excellent customer service in an organisation.
  • Strong interpersonal skills with an ability to influence and engage a broad range of stakeholders, including senior managers.
  • Engage and interact with stakeholders with tact, diplomacy and confidentiality, and be able to manage ambiguity effectively.
  • Meticulous, evidenced attention to detail.
  • Excellent IT skills, including MS Office, with an ability to develop competence with new systems.
  • Confidence in utilising and analysing data, including being able to summarise and communicate outcomes to non-technical stakeholders to inform decision-making.
  • Experience of developing new processes and reviewing existing process to improve effectiveness.
  • Strong sense of empathy with the experience of different student and staff communities.

Desirable

  • Formal project management training.
  • Conversational knowledge of a second language may be useful.
  • Knowledge and understanding of higher education sector.

Location
Hybrid and flexible: Warwick University campus a minimum of two days per week, one of which will be a Tuesday (team anchor day). Additional days on campus if required to complete job responsible. See additional info section

Additional information
Location - Hybrid and flexible: must be on Warwick University campus a minimum of two days per week, one of which will be a Tuesday (team anchor day). It is also expected that the postholder will be on campus additional days if required to complete job responsibilities.

There will also be a requirement to travel to The Shard campus in central London with notice and to work weekends when duties and responsibilities dictate.
