Description

Role

We are looking for someone to join our small team and to manage and grow relationships with current hirers (established business), to work with warm leads and establish relationships with new hirers (business) and to research, identify, and establish brand new hires to support and achieve our income targets.

The role will focus on non artistic events (hires) and this may range from conferences to parties to community choirs with clear sales targets to be achieved annually.

You will need to be sales and relationship focussed, dynamic, target driven with good organisational skills and able to follow administrative and financial processes to support your delivery. We are a small, fast-moving team delivering a significant programme of events.

You will work closely with the Director of Planning and Operations and Visitor Experience Manager to manage and deliver the hires programme and associated admin/contractual arrangements and alongside colleagues in the Visitor Experience team (event management), Technical team and Marketing team.

Duties and responsibilities

Sales

  • To coordinate and administer hires across all venues and to maximize sales and income
  • To develop and deliver on new ideas for income generation e.g. parties, maximizing cross selling to group sales
  • To deal with enquiries for venue hires and manage hires booked into venues (including student societies)
  • To maintain excellent relationships with existing or potential hirers and to encourage repeat bookings

Events

  • To work with Programming team to identify and agree date availability for space and bookings
  • To coordinate site visits and pre-contract negotiations and manage the drafting, sending and chasing of hire contracts
  • To administrate booking forms (processing and inputting information into Artifax Venue Management software) for hires
  • To work with Visitor Experience and Operations teams to ensure clear handover of all hires information to ensure excellent event management
  • To work with Visitor Experience and Technical teams regarding staffing and events requirements, chase event information as required

Marketing

  • To work with colleagues to design a range of materials in accessible formats to promote Hires availability, including digital methods
  • To work with marketing team and group sales/box office to ensure sales campaigns are in place, contributing to this as required

Admin

  • To manage the development and delivery of the online enquiry and booking process
  • To assist with annual review of fees and charges and ensure correct information if sent to hirers
  • To work with colleagues to ensure a clear booking, handover, feedback and evaluation process is in place
  • To monitor and report on new/lost business and develop and maintain contacts database
  • To ensure strong communication and information sharing with all teams but especially Visitor Experience, Operations, Box Office, Marketing and Technical teams
  • To be fully trained and able to use the ticketing system, artifax, kinetic and any other IT systems as the business requires and to support general day to day system management and maintenance of Artifax booking info

Health and Safety

  • To ensure that hires, activities and events are developed and conducted in line with health & safety and safeguarding guidelines as required in places of entertainment, buildings and employment, conducting any necessary risk assessments as required.
  • To ensure, with support from relevant colleagues, that our safeguarding policies and procedures are followed for every volunteer, that all necessary checks and training are implemented and that accurate records are maintained.

Skills and experience

  • Educated to a minimum of GCSE grade A-C in English and Maths
  • Sales and achieving hires targets experience
  • Experience of dealing with people at all levels
  • Event management experience
  • You will have excellent written and verbal communication skills and good numeracy skills and the ability to organise and deliver administrative work
  • Collaborative and able to work with a unified approach
  • Ability to work without supervision and to use own initiative
  • Time management skills and ability to work to tight deadlines
  • Excellent organisational and planning skills: ability to prioritise workload whilst dealing with conflicting demands
  • Budget management skills
  • Excellent IT skills including the ability to adapt new software
  • Willingness to work unsocial hours and a flexible approach to working patterns
