Warwick Mathematics Institute has an exciting opportunity in the Maths CDT team.  We are looking for a full-time Postgraduate Coordinator to help support the administrative processes and systems related to the Maths CDTs activities, therefore ensuring that an effective and supportive environment is provided to all students, staff and external contacts.  The WMI is a large, vibrant department, and this role presents a good opportunity for someone wishing to extend their administrative skills within an academic environment with a culture of excellence and continuous improvement. The successful applicant will be an adaptable team player with a professional approach, the ability to work autonomously, excellent interpersonal skills, high standards of accuracy and proficiency in relevant IT.

Duties and responsibilities

  1. Student and Course Administration – maintaining accurate student records and data; induction and enrolment; updating web-based content; liaise with other academic and non-academic departments as required.
  2. Student Support - be the initial point of contact for existing/prospective students (both in person and by email); monitoring student engagement and progress; assisting in the allocation of supervisors and personal tutors
  3. Recruitment and Admissions (PGR and PGT) - administration of the departmental admissions procedures; provide support and guidance to potential applicants; assist in the development of appropriate marketing
  4. Student Experience - key point of contact for student wellbeing queries, signposting to appropriate colleagues and student wellbeing support services; organisation of events;  maintaining contact with students on internships and Temporarily Withdrawn during their time away from the department.
  5. Examinations and Assessment – administration of exam marks, exam scripts, assessed work and vivas; preparation for exam board meetings; administration of PhD progress review
  6. Finance – have an overview of all PGR travel requests; monitor and process financial transactions related to PGR travel; comply with Financial Procedures and Regulations; advise on any financial matters and requirements that may arise as part of the role including regularly liaising with the student finance, expenses and PGR scholarships teams
  7. Other - Support the administration of, and attend relevant meetings, acting as a Secretary where appropriate; ensuring that postgraduate spaces are appropriately allocated and maintained; any other duties that may reasonably be requested by the Maths and Stats CDT Administrator, to support the general administration of the Department.

Skills and experience

  1. Good standard of education to A Level standard or above, including Maths and English GCSE a Grade C or above, or equivalent administrative experience
  2. Excellent general IT skills (word processing, spreadsheets, and emails) including the ability to learn how to use new software packages rapidly (including bespoke University software)
  3. Ability to work effectively, both independently and flexibly as part of a team.
  4. Excellent communication skills both verbally and written with the ability to communicate effectively and sympathetically with people at all levels and from different backgrounds. 
  5. Ability to learn new procedures rapidly and then apply them accurately and appropriately with strong attention to detail
  6. Ability to demonstrate initiative and to work proactively.
  7. Ability to work to tight deadlines and coordinate/prioritise several tasks simultaneously.
  8. Confidence and discretion in dealing with confidential matters in a sensitive and professional manner
  9. An ability to work collaboratively and effectively with academic and administrative colleagues, and with colleagues outside the department to promote collegiality.
