THE ROLE

The Research, Business and Innovation (RBI) Directorate are currently recruiting a Directorate Project Coordinator.

Expected start date: ASAP

Expected end date: 6 months from the start date.

Expected interview date: TBC

Rate of pay: £13.34
Holiday Pay: £2.08

This role is a Hybrid role working the following hours: 37 hours per week (hours and days negotiable)

Duties and responsibilities

The Directorate Project Coordinator will work alongside all directorate teams and provide high level administrative support. This role will support the Senior Leadership Team (SLT) in ensuring tasks are actioned proactively, and allowing clear communication channels at all times.

The post holder will coordinate specific projects and will provide support to the development of new and current initiatives within the Directorate.

The post holder will also be responsible for ensuring the effective administration of identified Directorate budgets in accordance with Financial regulations including, the maintenance of financial records, monitoring budgets, internal recharges and the analysis of financial data.

1. Undertake a variety of specialist projects on behalf of the Directorate, involving internal and external research, liaison with appropriate stakeholders and problem resolution.

2. Support the Senior Leadership Team including collating and extrapolating data/information as required from internal or external sources. Interpreting data by producing spreadsheets, word or powerpoint documents as required.

3. Facilitate meetings as required including creating agendas, producing accurate minutes, recording actions, distributing papers and following up actions in a timely way.

4. Be responsible for budgets and finance as identified by the Director. Work in collaboration with the Innovation Centre Operations Officer creating and confirming orders, liaising with suppliers, managing, monitoring and updating budget information.

5. Extract financial and procurement data from reports as required, maintaining accurate records, monitoring balances and extracting monthly reports for budget holders. Provide analytical support to Directorate managers and the Finance Partner in respect to purchasing and budget management.

6. Be the first point of contact for the Directorate using own initiative to identify and resolve internal and external queries and to signpost effectively ensuring a high standard of customer care.

7. Organise and coordinate events in liaison with the Events Officer including business stakeholder and Research Services events on behalf of the Directorate liaising with internal and external contacts, as required. This may include support for events that on occasion are outside of core working hours.

8. Coordinate recruitment processes where required including collating paperwork, creating packs, organising interview venues.

9. Coordinate the process for the annual Higher Education Business and Community Interaction Survey (HEBCIS) and Higher Education Innovation Fund (HEIF) including sending communications, minuting meetings, collating and organising information.

10. Complete general office duties including, developing and maintaining systems and processes to ensure the efficient running of the Directorate, maintaining and editing webpages and Sharepoint where required and coordinating Directorate requirements in respect to IT, business travel, catering etc.

11. Provide administrative support to the Executive Assistant PVC RBI as required.

12. Act as Health and Safety Coordinator for the Directorate.

13. To work with Information and Governance Department around Freedom of Information requests

14. Perform any other duties commensurate with the job grade as reasonably required from time to time

Skills and experience
*Significant experience of servicing meetings including accurate note taking.*

Five GCSEs, Grade C or above, including English and Math’s (or equivalent experience).

Significant experience of working in a similar coordinator/administrative role supporting a team.

Experience of arranging events

Significant experience of working on a number of activities concurrently.

High levels of accuracy and strong attention to detail.

Understand confidentiality and the requirements of the Data Protection Act.
