City's Student Experience team are currently looking to recruit an experienced Executive Assistant to support their busy leadership team and service in this temporary post.

Duties and responsibilities
1. Diary management and administrative support to the Deputy Chief Operating Officer and Director of Student Experience, including arrangement of meetings where requested and the management of meeting papers, travel and administrative support for activities or projects.

2. Secretarial and administrative support to Board and committees at the discretion of the postholder’s line manager

3. Support Budget Holders in managing the financial administration of the Directorate including raising e-requisitions, processing invoices, holding a OneCard (University credit card) to make bookings and maintaining accurate financial records.

4. Regularly update and maintain MS Teams sites, web content and internal facing web pages.

5. Ad hoc projects and work as required

Skills and experience
• Exceptional time management and organisational skills
• High levels of resilience with the ability to manage and prioritise a complex and varied workload with multiple and conflicting demands
• Excellent communication, interpersonal and customer service skills with the ability to establish strong working relationships
• Ability to be creative and engaging with communication methods and to tailor them to specific audiences using a variety of communication channels
• Respect for, and appreciation of, working within a diverse staff and student environment
• Excellent attention to detail, including English spelling and grammar
• Ability to work comfortably within a team and across a large Directorate, acting as a strong team player with a willingness to help others
• Diplomacy, discretion and sensitivity to wider contexts, including management of confidential information
• Confidence in using IT across a wide range of applications, such as Microsoft Office Outlook, Word, Excel, Publisher and PowerPoint
• Ability to take accurate minutes of meetings
• Commitment to your own on-going professional development with a willingness to learn new skills
• Ability to work proactively, use initiative and judgement to resolve problems and be resourceful when dealing with queries
• Ability to retain accurate and up-to-date records and information in line with GDPR


• Ability to influence and negotiate with more senior staff
• Ability to identify areas for operational improvement
• Knowledge of wellbeing and safeguarding initiatives
• Ability to analyse data and present it in a user friendly and easily digestible manner
