Our client (A Charity) are looking for an administrator to join their team for a fixed term until Oct 2022
You will be working remotely to begin the role. However we will be looking for the successful candidate to be based in the office in Leeds 1 day a week . Therefore to be considered for the role, you should be based in Yorkshire within commutable distance of Leeds.
Team Support and Office Management
Maintain team efficiency by implementing systems to support the team, including procuring equipment and supplies and supporting remote working, as required;
Maintain inventory of assets and supplies;
Manage the charity’s central inbox and telephone enquiry line, responding to general enquiries and liaising with relevant members of the Team
Arrange logistics such as travel and accommodation for the staff team;
Maintain the office condition and ensure a safe working environment (liaising with the landlord where appropriate);
Support the team with office and training logistics e.g. booking rooms and meetings, photocopying and printing;
Provide basic IT support and guidance to the team; Recruitment and HR
Coordinate recruitment processes and administration, including advertising and liaising with external recruitment sites/agencies.
Support hiring managers, ensuring compliance with procedures
Provide administrative support with drafting and updating HR documentation
Support systems for tracking and approving annual leave and sickness absence
Support collection of Equality, Diversity and Inclusion (EDI) data
Organise and support routine staff appreciation activities Finance Administration
Provide support with routine finance administration, including raising invoices, income recording, credit control
Enter data onto computerised accounts system
Co-ordinate the bi-monthly cycle of approvals and payments (liaising with other team members and managers accordingly)
Support the staff team with staff and volunteer expenses claims, as necessary
Manage the central finance inbox, responding to general email enquiries and liaising with relevant members of the Team
Other Duties
We are looking for someone who has: - Previous Office Administration experience. - Experience of working within a team and providing support for various team members. - Previous experience of managing office space and systems is desired for the return to the office. - Excellent written and verbal communication skills. - Excellent IT skill (especially Microsoft Office) as well as the ability to use Google Drive and Slack amongst other programmes. - Excellent attention to detail You should also be able to time manage yourself and have the ability to priortise work to ensure that demands are met. You should be a self starter who is able to support the team throughout the business.
