Description

We are looking for an organised, pro-active and enthusiastic individual to assist and support the work we deliver within our Representation & Democracy team over the autumn and spring terms; this will include supporting our Programme Representatives, helping out at democratic events and contributing to other exciting projects.

The successful candidate will have a positive can-do approach, good communication skills and excellent administrative skills. Previous experience of working in Students’ Unions is not essential but some knowledge of Students’ Unions; its democratic functions and academic representation structures will be useful.

This is a temporary post and will run through till May 2022
To provide administrative support and assistance to the Representation & Democracy team on relevant student engagement projects, including student feedback, democracy and representation.

Tasks will include but not be limited to:
•Providing administrative support to the systems and processes used to effectively maintain the Unions representation and student feedback structures.
•Assisting with the administration and delivery of training.
•Providing administrative assistance to the Student Executive and Programme Representatives.
•Responding to all general enquiries and emails in the generic team mailboxes relating to representation in a timely manner.
•Providing administrative support for Union research work, including but not limited to typing up feedback forms and transcribing focus groups.
•Assisting with the administration of volunteer reward and recognition initiatives for Executive Officers, student leaders and volunteers.

General tasks will include but not be limited to:
•To carry out basic administrative tasks on behalf of the Union.
•To undertake any other duties appropriate to the role, role grade and organisation, within their competence as required by management, to provide and operational support for colleagues including absence and periods of peak workload as required.
•To adhere to all relevant Union policy, procedures and governing documents at all times.
•Respect the democratic structure of the Students’ Union at all times.
•Work flexibly and efficiently and to promote a positive image of City Students’ Union at all times.

Knowledge and Experience
Essential

•Excellent customer service skills
•Experience of providing administrative support

Desirable
•Experience of working with volunteers
•Experience of supporting the delivery of projects
•Knowledge of academic issues, structures and regulations
•Knowledge of the key themes and issues in Higher Education

Skills and Abilities
Essential
•Basic IT, numeracy and literacy skills, with proficient use of Microsoft Office
•Effective listening and communication skills both in person and via email/ telephone
•Excellent attention to detail
