To provide support and assistance for the Procurement team. This would include the raising and placing of purchase orders with suppliers in a timely manner so the needs of the various functional areas in particular the Campus and Commercial Services Group are met, maintenance of the SAP database within the material management function, updating all records accurately for reporting and stock valuations.
  • Creation and placing of purchase orders for the department, using the SAP / Opera system ensuring orders are placed in a timely manner.
  • Review the status of purchase orders and updating the purchasing information.
  • Creation and maintenance of material master records, info record and source lists in SAP 
  • Updating prices on SAP to ensure accuracy of purchase order prices, food stock valuations and management reporting.
  • Dealing with price difference reports to establish the over tolerances of invoices in relation to food purchasing. 
  • Creation of New Vendor Requests.
  • Dealing with and resolving queries from customers and suppliers relating to products, delivery and prices.
  • Producing purchase analysis reports as directed by Procurement Operations Manager and / or Senior Procurement Assistant.
  • Any other duties as may be determined by the Procurement Operations Manager and / or Senior Procurement Assistant
  • Good standard of education, GCSE level or equivalent, particularly in the areas of literacy and maths (at least Grade C at GCSE in both)
  • Experience of using the SAP Finance system, in particular the material management module
  • Evidence of past employment or experience that required attention to detail and a high level of analytical skills
  • Working knowledge of purchasing processes
  • Good administrative & organisational skills
  • Good communication skills, ability to communicate with internal and external customers at all levels, both verbal and written
  • The ability to prioritise tasks effectively and work to strict deadlines
  • Good telephone communication skills. 
  • The ability to produce and present meaningful, accurate and concise written and numerical reports
  • Strong knowledge of Excel, Word and Outlook essential.
